Summary:  The IT Coordinator provides reception and administrative support for the Information Technology Services Department.  This position works closely with the Director of Information Technology to ensure the efficient collection, filing and flow of information and documentation internally and externally. Performs a variety of high-level clerical and administrative duties for programs, departments, and other offices.

DETAILED JOB RESPONSIBILITIES:

  1. a) Reception Services
  • Serves as receptionist to the IT office; responds to inquiries in a professional, helpful manner.
  • Provides tier one telephonic Information Technology support related to a variety of computer issues, related to hardware and software problems to include e-mail accounts, and telephone systems.
  • Coordinates work requests to be completed by Information Technology technicians on a case by case basis, closely monitors work orders to ensure customer satisfaction and project completeness.

 

  1. b) Administrative Support
  • Knowledge of the general proper operation of and the ability to use personal computers, standard office equipment; basic mathematics, and basic bookkeeping.
  • Skill in interpersonal communication and cooperative problem solving and the ability to exhibit effective telephone etiquette and basic public relations skills.
  • Ability to communicate effectively, verbally and in writing, relate in a professional, helpful manner in person and over the phone; relate to a diverse population and to maintain composure when faced with difficult situations.
  • Ability to multi-task and organize, prioritize, and follow multiple projects and tasks through to completion with an attention to detail; work independently in meeting various time deadlines and work pressures with frequent interruptions.
  • Ability to effectively identify and resolve problems related to every-day administrative support functions; perform basic mathematical calculations; maintain strict confidentiality related to sensitive administrative information; operate personal computer (windows) in utilizing various programs.
  • Ability to operate standard office equipment; develop effective working relationships with executives, supervisors, fellow employees, students, vendors, and the public
  • Ability to maintain accurate office procedures.
  • Investigates vendor issues as needed; reconciles and files purchase card transactions for the Director
  • As directed, writes correspondence
  • Imports and formats data.
  • Compiles the systems analytic reports
  • Other duties as assigned.

 

  1. c) File & Data Management
  • Files media software and updates the filing with newest version update as it is received.
  • Creates a back-up copy of the media for Analyst to use.
  • Data Entry for ITS printer reports, budget reports, web base information, and other reporting procedures. Information is kept on an Excel spreadsheet or software program.
  • Updates & maintains procedure manuals.
  • Maintains a comprehensive filing system for the department in accordance with Fourteen Foods Records Management System.

 

EDUCATION REQUIREMENTS & ADDITIONAL COMPETENCIES:

 

  • High School Diploma required
  • One to three years' administrative experience
  • Experience working in an IT environment and in client focused setting
  • Intermediate to expert level competence with MS Office and database applications.
